Create a Requisition from a Stock Location (Inventory Users Only)

Learn how to replenish your Stock Items in a specific Stock Location via a Purchase Requisition.

A Stock Location can be representative of a physical location at your Organisation where Stock Items are held, such as a store room, a warehouse or kitchen. 

When you create a Requisition from a Stock Location, all Stock Items held in the selected Location will be available to order, and you will see all available quotes from your Suppliers for those Stock Items - similar to the way a Buy List Requisition works. Only Stock Items that are held in the Stock Location can be added to a Stock Location-type Requisition.

If you need to purchase products that are not-yet held in your Stock Location as a Stock Item (for example, a new product that you have not used before), you must use one of the other Requisition Types, and then Receive the Products to Inventory, making sure to select the correct Stock Location while doing so. 

Please Note: Creating a Requisition from a Stock Location is only available if your Organisation has our Inventory module enabled.

Create a Requisition from a Stock Location

To create a Requisition from a Stock Location, click [Requisitions] → [New Requisition]:

Creating a Requisition from a Stock Location 2You will be required to select one of our Stock Locations as the basis for your Requisition:

Requisition from Stock Location - select LocationPlease complete the remaining required fields that are common to all Requisition types (for example, Delivery Date, Department and Account Code), and decide if you would like to create your Requisition using Advanced Shopping mode or Basic Shopping mode. Click [Create Requisition] to proceed:

Reminder: The Products available to you are limited to those that are held as Stock Items in your selected Stock Location. If you need to purchase products that are not-yet held in your Stock Location as a Stock Item (for example, a new product that you have not used before), you must use one of the other Requisition Types, and then Receive the Products to Inventory, making sure to select the correct Stock Location while doing so. 

If you created the Requisition in Basic Shopping Mode, add the products to your cart in the desired quantities, and click [View Cart]. You will be able to view and edit all the Products and Quantities in the Requisition, and you will be able to see if you have added a product from a Supplier that is not the lowest quote from one of your Suppliers.

Once you are happy with the Requisition, click [Submit Requisition] located at the top-right hand side of the page.

If instead you created the Requisition in Advanced Shopping Mode, add your Stock Items to the Requisition in the desired Quantities.

Tip: Take note of the Location Quantity column, which displays a count of the Stock Items currently being held in the Stock Location. You can click on the number to view the PAR and Re-Order Levels, if any have been set. This is a powerful way to make sure you do not over-or under-order your Stock Items.

Whichever Shopping Mode you selected, once initially submitted, you will then have the opportunity to review the Submission before clicking [Submit for Approval] at the bottom of the page.

Submit a PR for approval in PurchasePlus.This will place the Requisition in the Approval Workflow that has been configured for the Department from which the Requisition originated.

The Requisition will remain in an 'Awaiting Approval' stage until an Approver signs into PurchasePlus and Approves the Requisition.
