In this article, we will show you how to export your catlaog, update your prices on an export spreadsheet, and import it back in to your catalog. You can find your product's PPID via a catalog export as well!
1. In [Catalog] [Supplier Catalogs] find the Catalog you want to update. Click the [Export] icon on the right of the Catalog name.
2. Your new catalog export state will show as 'Open.'
- Wait a few seconds before refreshing the page. The catalog export state should now show as 'Complete.'
- Click on the [File Name] to download the catalog's .CSV file.
3. Open the .CSV file in your spreadsheet editor.
You are able to edit the following columns ONLY
-
Column A: product_code
-
Column I: pack_price_ex_tax
-
Column J: tax_percentage
Note - To ensure there are no errors when re-importing the catalogue back into Purchase Plus, we recommend clearing the contents of columns M-P. Leave the column headers. Do not clear column Q, as the import needs the PPIDs to work successfully.
You can now save the csv file ready for import.
- To add additional existing products to the Catalog, add the product's 'PP Product ID' to Column Q, along with the other 3 columns mentioned above.
Note - You can find the 'PPID' or 'PP Product ID' in any export from PurchasePlus.
Note - If you do not have the PP Product ID, you will need to add the product to your catalog using PurchasePlus Master product catalog picker first, see below steps, or request product creation from our PurchasePlus catalog team.
4. Inside the catalog you are working on, click on the green '+' button, as below
5. In the pop up, type the name of the product you want to add, and click on the 'magnifying glass' icon.
Find the product and click on the 'hand lizard' icon to add the product to your catalog. You can either add your price & tax (if applicable) to this screen before you click to add, or you can price & tax (if applicable) in the catalog after you have added it in.
5. In Purchase Plus, in [Catalogs] [Supplier Catalogs,] locate the Catalog you are working on, click the [Import] icon on the right hand side on the Catalog name line.
6. In the pop-up window, click [Browse] to locate and upload the edited .CSV file. Once you have selected the file, click [Save] to import your file.
Extra good bits!
- If you want a product to be deleted from your existing PurchasePlus catalog, delete the whole product line on your file. Save & import into your PurchasePlus catalog as above and tick the [Delete Unmatched Lines] check box & click [Save].
- If you want your price update import to be scheduled for a future date and time, input the date, hour and minute in the below highlighted fields & click [Save].
7. Your catalogue import will now show with the state as 'Open'.
- Wait a few seconds and refresh the page. The state should now show as 'Complete'.
- You can see the details of your import in the 'Import Information' column.
- Any errors that may have occurred during the import will show in the 'Import Errors' column. We highly recommend that you always check your Imports page in case the file did not import correctly! If there is a file, click on it to see what is needed to be fixed, save it, and re-import the file.
Your new catalog has now been imported!
